2. Scope and data collected
This policy covers visitors to iqquip.com and people who contact, request a quotation from, order from, receive support from, collaborate with or otherwise communicate with Moofit.
- Contact and organisation data: name, organisation, role, postal address, email address, telephone number and country.
- Enquiry and correspondence data: messages, attachments, meeting notes and communication history.
- Commercial and delivery data: quotation, order, invoice, payment status, delivery, installation and customs information.
- Product and service data: model, configuration, serial number, installation site, inspection, maintenance, incident, replacement-part, warranty and ownership-transfer records.
- Technical website data: IP address, request time, requested URL, response status, browser or device information, referrer and security-event data processed in server logs.
Please do not send medical records, diagnostic images or identifiable patient information. Moofit does not require health data for ordinary product, sales or support enquiries.

Where processing is based on legitimate interests, Moofit considers necessity, proportionality and the individual’s rights. Consent may be withdrawn at any time without affecting earlier lawful processing.
4. Website, cookies and analytics
The current website is primarily static and uses locally hosted fonts, images and videos. It has no account or checkout and does not intentionally deploy analytics, advertising trackers, social-media pixels, third-party embeds or non-essential cookies. The equipment-record page includes optional browser forms. Data entered in those forms and the handwritten signature drawn on screen remain in the browser until the visitor chooses Send to iQQuip. A submission is then transmitted over HTTPS to a server-side handler and forwarded by email to the responsible iQQuip service address. The submitted data includes the email address required for the confirmation copy, the signer's name, any stated role or function, and the handwritten electronic signature. An equivalent confirmation copy, including the signature as an image attachment, is emailed to the address provided. The website handler does not intentionally create a separate database copy of the submitted record. Hosting and email providers necessarily process the submission and confirmation copy. To prevent accidental identical duplicate submissions, the server may retain only technical duplicate-control metadata for up to 30 days: a non-reversible hash, a timestamp and a correction counter. The submitted record content is not additionally stored for this purpose. Fillable PDF downloads can also be completed and stored locally without sending data to iQQuip.
A contracted web-hosting and infrastructure-security provider processes routine request data to deliver pages, resist abuse and diagnose faults. Routine logs are deleted or anonymised when no longer needed for service delivery and security. Evidence connected with an actual incident may be retained for the investigation and any legal claim.
If non-essential cookies, analytics or external embeds are introduced, Moofit will update this policy and, where required, obtain consent before activating them.
5. Recipients
Personal data is disclosed only where needed to authorised Moofit personnel and to relevant categories of recipient: website and IT providers; email and communications providers; accounting, payment and professional advisers; manufacturers and approved service providers; carriers, customs agents and installation partners; insurers, auditors and public authorities where legally required; and a purchaser or adviser in a genuine corporate transaction subject to confidentiality.
Service providers may use data only for the contracted purpose and are bound by confidentiality, data-protection terms and security duties. Moofit does not sell personal data.
6. International transfers
Providers are selected with the aim of keeping routine processing in the European Economic Area. If personal data is transferred to or accessed from a country outside the EEA, Moofit uses a lawful mechanism such as an adequacy decision or the European Commission’s standard contractual clauses and applies supplementary safeguards where required. Information about the safeguard relevant to a particular transfer is available from management@iqquip.com.
7. Retention
Equipment-record submissions: retained as part of the relevant product, service, installation, inspection, maintenance, incident or traceability record for the periods described below; the website submission handler itself is not intended as a separate long-term storage system.
- Routine website logs: only for the configured operational and security period; incident evidence may be kept until the incident and related claims are closed.
- General enquiries and unsuccessful quotations: normally up to two years after the last meaningful contact, unless earlier deletion is appropriate or continued retention is needed for a dispute.
- Contracts, orders, invoices and accounting records: seven years after the end of the relevant financial year where Dutch tax or accounting law requires this, or longer where another mandatory period applies.
- Installation, safety, inspection, maintenance, incident and traceability records: for the documented service life of the product and thereafter for the applicable product-safety or legal-claim period.
- Optional marketing preferences: until withdrawal or objection, with a minimal suppression record retained to respect the opt-out.
When a period ends, data is securely deleted or anonymised unless a legal obligation or active claim requires continued retention.
8. Your rights
Subject to the conditions of the GDPR and other applicable law, you may request access, correction, erasure, restriction or portability of your personal data and may object to processing based on legitimate interests or to direct marketing. You may withdraw consent at any time.
Send a request to management@iqquip.com. Moofit may ask for information reasonably needed to verify identity and will normally respond within one month. You may complain to the Autoriteit Persoonsgegevens or, where applicable, another competent supervisory authority.
9. Required data and automated decisions
Contact data is optional for browsing but is needed to answer an enquiry. To send an equipment record, a valid email address for the confirmation copy, the signer's name and a handwritten electronic signature are required. Identity, address, payment and delivery information may be required to conclude or perform a contract or meet legal obligations; without it, Moofit may be unable to quote, deliver or support the order.
Moofit does not use the data covered by this policy for solely automated decisions that produce legal or similarly significant effects and does not create behavioural profiles from website visits.
10. Security
Moofit uses organisational and technical measures proportionate to the data and risk, including access control, provider due diligence, contractual controls, software maintenance, backups where appropriate and incident handling. No transmission or storage system can be guaranteed completely secure. Report a suspected data-security issue to management@iqquip.com.
11. Changes
Material changes will be published on this page with a new effective date. The version in force when data was collected remains relevant to that processing unless law or a compatible purpose requires otherwise.
